Description:Description: Position Summary:

The Development Assistant will provide administrative support to the Major Gifts and Institutional Giving Teams and will also assist the Director with the department’s administrative needs. The Assistant will work in close conjunction with and take direction from the department Project Coordinator.

Position Responsibility:

Major Gifts
• Code, process and tabulate daily contributions.
• Coordinate monthly renewal mailings: prepare mailing list, complete mail merge, schedule and assist volunteer staff assisting on projects.
• Coordinate weekly acknowledgment receipts and personalized letters.
• Assist with the planning and implementation of special events, cultivation events, and on-site visits, including invitation mailings, tracking /confirmation of RSVPs, ticket distribution, event logistics, and follow-up documentation.
• Assist with donor prospect research and management.
• Provide professional and thorough customer service – on the phone, in person and in written form.

Institutional Giving
• Coordinate gift acknowledgement letters and assist with internal gift processing.
• Coordinate on-air recognition spots with Traffic Department.
• Assist with foundation research.
• Assist with the upkeep of funder/grant deliverables spreadsheet.
• Provide professional and thorough customer service to funders – on the phone, in person and in written form.
• Gather information to support grant proposals and reports: e.g. web screenshots, audio CDs, photos, press releases, etc.
• Assist with the internal approval process of grant agreements.

Development Department
• Prepare materials for Development Committee and Board Meetings – including PowerPoint presentations, graphs and charts.
• Set up and assist with departmental meetings and other department administrative needs.
• Coordinate office supplies for the department.
• Receive incoming mail and prepare postage for outgoing mail.
• Other duties as assigned.

Required Education and Experience:

• High School degree or equivalent required.
• Three or more years administrative support experience or equivalent.
• Significant experience using MS Outlook, Word, Excel, PowerPoint and database software.
• Previous experience supporting multiple people and more than one activity in a fast-paced environment.

Required Skills, Knowledge and Abilities:

• Proactive with ability to organize, prioritize and meet multiple deadlines.
• Meticulous attention to detail.
• Ability to maintain the strictest confidentiality concerning donors/funders and prospective donors/funders.
• Ability to identify and recommend new processes to improve efficiency.
• Professional oral, written, and interpersonal communication skills.
• Ability to attend special events, including occasional evenings and weekends throughout Los Angeles and Orange County.
• Excellent PC skills - MS Word (experience in intricate merge documents), Excel (experience in creating multiple spreadsheets and mail merges using Excel spreadsheets), PowerPoint (including graphs and charts), and Outlook (email and calendar scheduling).
• Ability to exercise discretion and independent judgment.
• Warm, confident, and diplomatic approach to interpersonal relationships.
• Comfortable in an environment of change, creativity, complexities, and multiple tasks.
• Quick learner and computer savvy.
• Strong customer service ethic.
• Must be self-motivated and a self-starter.

Preferred Skills and Experience:

• 5 years of administrative assistant experience
• Knowledge of fundraising software (Enterprise)
• Experience working in a non-profit Development department
